"How much does it cost?" is the first question every proprietor asks, and the one too many vendors refuse to answer without a phone call. That evasiveness is itself a warning sign. Most good software is priced per student, per term
The common and fair model is a small amount per student, per term. It scales with your school: a school of 200 pays for 200, a school of 1,500 pays for 1,500. This matters because it ties the cost to your size and your income. Fees come in per student per term, so a cost that works the same way stays proportionate to what you can afford.
Be cautious of flat annual licences that ignore your size. A small school shouldn't pay the same as a large one, and a pricing model that pretends they're the same is usually overcharging the small school.
What you should expect to be included
At the base level, the core of running a school should be included, not sold back to you piece by piece: student records, fees and invoicing, results and report cards, attendance, and parent communication. Be wary of a low headline price that turns out to exclude the things you actually need, so that the real cost is the headline plus a stack of add-ons.
Some genuinely specialised things reasonably sit as extras, because not every school needs them. Boarding house management only matters if you run a hostel. AI tutoring tools, gamified learning, and advanced modules are fair to price separately, because a day school with no boarders shouldn't subsidise features it will never touch. The test is whether the core is complete on its own.
What actually drives your bill
Three things mostly determine what you'll pay. Your student count, since pricing is usually per student. Your plan tier, since more capable plans cost more per student. The costs people forget to count
When comparing options, remember the hidden costs of the cheap choice. The hours your bursar spends reconciling by hand. The teaching time lost to a slow register. The fees that slip through the cracks because nobody could see the outstanding balances. The parents who leave because the school felt disorganised. Software that's a little more expensive but recovers a few percent more of your fees and saves your staff days each term usually pays for itself many times over. The right question isn't "what's the cheapest?" but "what's the return?"
A word on "free"
Free tools exist, and for a very small school they can be a starting point. But free usually means limited, unsupported, or funded some other way, sometimes by owning your data.
