Send expected visitors a pass in advance

The scan is rate-limited so nobody can sit outside trying to brute-force a valid code. If plans change, a pass can be revoked or resent.
Keep out the people who shouldn't come in
Every school has a short list of people it would rather not admit: a banned contractor, a parent involved in a custody dispute, someone who caused trouble before. A block list makes that a rule the gate enforces, not a memory that fades when the usual officer is off duty. The person is flagged the moment they're looked up.
Log incidents while the details are fresh
When something does happen at the gate, a suspicious person, an attempted unauthorised entry, an altercation, it should be written down properly, with the severity noted and whether the police were called. A real incident log means patterns become visible and you have an accurate account later, rather than trying to reconstruct events from memory a week on.
Put a device on the gate if you want to
The gate can run from a staff phone, or from a dedicated device at a busy entrance that scans passes, checks visitors in and out, and shows who's currently on site. Either way, the record is the same, and it's the record that matters.

Parents rarely ask about gate security directly, but it sits underneath every decision to trust a school with their child.
